Job Description

Location: M4 corridor - Working from home

Contract: 3 months

Salary: £36,000 - £40,000 pro-rata

Hours: Full time - 40 hours per week

Reporting to: Vehicle and Movement Manager

One element of the role is the day-to-day supervision of the transport coordinators and the drivers (both transporting of Service Users, and the Logistics and Inventory delivery drivers). This role is responsible for all day-to-day management of the team/staff, including motivation, support and instruction, ensuring they are briefed daily on issues or requirements within the business.

This role includes significant 'hands on' involvement and the ability to retain priorities but change schedules, collections, picks ups etc at short notice is essential.

The ability to understand and manipulate data, timely decision making, flexibility to address short notice changes while delivering service levels is essential, as is holding at least level 3 Certificate of Professional Competence in National Passenger Transport, with evidence of CPD.

Duties and Responsibilities

Customer Service

  • To schedule all daily transport needs via the transport coordinators team,
  • Delivering 100% of the transport requirement collecting and moving Service Users in accordance with the Home Office and the internal demand,
  • Efficiently managing resources (principally drivers and vehicles) to meet the demand at the lowest cost,
  • To be the point of contact for Field and Head Office staff in terms of day to day first line queries regarding the transport division, referring to the Vehicles and Movement Manager where applicable,
  • Take ownership and resolve any queries or complaints into the transport department and oversee receipt and recording of goods in and goods out,
  • To be the point of contact for all transportation, inventory and maintenance queries,
  • Ensure all transport demand is fulfilled,
  • Answering of day-to-day emails and all administration duties.

Transport and Logistics

  • Responsible for the ordering and maintenance of all vehicles (whether owned, leased or rented) in accordance with agreed process and in the most cost-efficient manner,
  • Responsible for the engagement with alternative transport suppliers (such as taxis) to meet 100% of the demand,

Team Working

  • Regular liaison with Home Office, Field and Head Office staff
  • Manage the transport team
  • The ability to delegate work fairly and efficiently including sub contractors.
  • Ensure regular team meetings are held and monthly 1:1s are carried out.
  • Provide ad hoc cover for dispersals
  • To lead by example in setting standards in line with expectations.
  • To help train new staff and develop existing staff to maintain required standards of operation.
  • To motivate the team to provide first class service to all internal staff and external contractors.

Delivering Business results

  • To maintain the standard of the vehicles and ensure all appropriate paperwork to ensure compliance with legislation.
  • To maintain consistently appropriate packaging, warehousing and housekeeping standards
  • To ensure the team is trained consistent with the requirements of the training matrix and training records are kept accurately and forwarded onto the HR department at Head office.
  • To assist in developing services offered and evolving existing services to meet changing business requirements

You will need to be organised, self motivated and have good written and verbal communication skills. You must have a "can do" attitude.
