Imports Coordinator
Basildon, Essex
£27,000 - £30,000 per annum

A fantastic opportunity has arisen to work for one of our top clients based in Basildon. Our client has the best reputation within the business and are now looking for an experienced Imports Clerk to join their busy and thriving team.

You will be responsible to oversee the handling and processing of all documents relating to the shipping and movement of stock received. To liaise with all levels of staff in connection to issues and queries relating to the duties involved.

The Role:

  • To raise new purchase orders and to create new item cards/vendors details on the system. Sending of orders to relevant factories/Far East office
  • Checking all supplier sales confirmations for arranging deposit payments to suppliers. Authorising deposit and balance payments on shipping files to pass to Purchase Ledger clerk for payment
  • Receiving of copy documents and emails regarding shipping details with invoices, packing list and bills of lading, checking all documents and setting up of shipping files, allocating documents against the relevant purchase orders and updating Excel with copy doc arrival and originals against shipments. Liaising with sales as to regards with drop shipments and passing relevant invoices for payment once checked to the purchase ledger clerk
  • To arrange original documents to be sent to the shipping agent, to ensure updated shipping schedule, to liaise with shipping agent on regular basis in arranging containers into the warehouse, non-shows of containers
  • Liaising with Sales and the Warehouse to arrange delivery dates and locations of all containers on the shipping schedule
  • Updating the database with the relevant shipping information, upon receipt of shipping schedule, update with details as to goods being delivered into the warehouse. Pass on all schedules to Sales to keep information flow. Checking each day with containers coming into the warehouse/Shipping Agents, and liaising with warehouse as to queries/changing container dates
  • To invoice off stock, once checked in at the warehouse, to resolve and issues and discrepancies with suppliers, then pass to the purchase ledger clerk to allocate on the database
  • Stock receipts for goods from Far East matching invoices/packing list, warehouse receipts created to GRNs from warehouse and receipting the stock to this location onto the system
  • Raise UK orders, liaise with suppliers to ensure timely delivery of stock and that deadlines are met. Update delivery dates, stock receipts and matching invoices and GRNs from warehouse
  • Improving the controls and management of stock invoices and raising user awareness
  • To Liaise with Far East office, factory suppliers, shipping agent to resolve queries and provide satisfactory resolutions to problems
  • Liaising with sales department in relation to passing on information regarding shipments, stock arriving at the warehouse, passing on copy and original documents for customer direct drop shipments
  • Any other adhoc duties, helping others within the sales and purchase teams, liaising with credit control on contra accounts and dealing with large volumes of e-mails daily

The Candidate:

Previous imports / shipping / freight forwarding experience

A proficient level of numeracy and maths required with the ability to calculate weights and dimensions relating to shipping containers

Previous experience of using different currencies would be an advantage.

Skills with Excel/Word/outlook and have generally good IT.

Experience of Microsoft Navision would be an advantage
